Can I Do It Myself?

Transcribing and summarizing a meeting

You can do it yourselfDone with ready-made tools, no technical knowledge needed.

Turn a meeting recording into a transcript and summary, and list the decisions and tasks.

Estimated time: About 30 minutes per meeting (for a first-timer, an estimate)

Steps

  1. 1

    Tell the participants

State at the start that the meeting will be recorded and what it will be used for.

  2. 2

    Get the transcript

Add the recording to Gemini Notebook as a source, or create a speaker-labeled transcript with WhisperX.

  3. 3

Ask for a summary and task list

Ask it to list decisions, owners and dates separately.

  4. 4

    Check and share

Compare names and dates with the recording; a task assigned to the wrong person is the most common error.

Risks and things to watch

Tell participants before you start recording (in Turkey this is a KVKK, the Personal Data Protection Law, notice requirement). Before uploading a recording with client names or personal data to the cloud, check the tool's data retention and training settings; if you'd rather not, the transcript can be made on your own computer with WhisperX.

Tools you need

Picking one is enough; the cards show how they differ.

Gemini Notebook (formerly NotebookLM)

AppFree + paid

Formerly NotebookLM: answers from the PDFs and documents you upload; makes audio overviews and presentations.

What sets it apart: Relies on your uploaded sources and shows the part the answer came from. It can still misread; check important answers against the source.

For: Students, lawyers, anyone who reads long documents.

Notion

AppFree + paid

Notes, docs, tasks and tables in one place; its AI answers questions from your pages.

What sets it apart: Transcribes meetings and writes summaries (Business plan).

For: People and teams who want to keep their notes and work organized.

WhisperX

Open sourceFree · open source

Transcribes meeting recordings separated by speaker.

What sets it apart: Writes who said what separately; adds word-by-word timestamps.

For: Technical users who want to transcribe multi-person meetings.

If you'd rather not do it yourself

You can do this yourself. If you don't have the time, or want a system tied into your business, we can set it up together.
