CRM Implementation Services —
so no enquiry slips through the cracks.

Enquiries are scattered across WhatsApp, Instagram DMs, forms and the phone, and who gets back to whom lives in someone’s head. We start by mapping your sales process, help you choose the right CRM, set it up, connect your channels and make sure your team actually uses it.

Short answer

What is a CRM, and what does it do?

A CRM (customer relationship management system) keeps who each customer or lead is, where they came from, what they want and what the next step is in one place. Small businesses often just call it lead or customer tracking software.

Software on its own solves nothing; the process you build into it does. That is why CRM consulting maps your sales flow before touching any software: where enquiries come from, who picks them up, how many steps to a quote, where they get lost. Implementation is moving that flow into the software, connecting the channels and training the team.

When a business buys a CRM and drifts back to spreadsheets a few months later, the cause is rarely the software. It is a half-finished setup: no defined stages, no connected channels, no follow-up rules anyone wrote down.

If you want data to flow into your CRM with no manual copying, see our AI automation service.

Today · scattered follow-up

  • Enquiries spread across WhatsApp, DMs, forms and phone
  • The follow-up list lives in a spreadsheet or in someone’s head
  • Nobody knows who called whom back
  • Where sales stall cannot be measured

A properly set-up CRM

  • Every enquiry on one card, with its source
  • Every card has an owner and a next step
  • Overdue follow-ups are flagged to their owner
  • You can see which stage leaks

Most businesses do not lose customers in their ads; they lose them in the inbox . An enquiry comes in, someone says “I’ll get back to them”, and nobody does. A CRM ties that “later” to a date and a name .

The problem

Why a CRM matters: where do your leads go missing?

If you invest in ads, content and a website but cannot follow up the enquiries they bring, you are losing at the most expensive step. The losses usually happen in these three places.

Illustrative Demo
Incoming enquiries · this week
  • WhatsApp · Ayşe K.

Asked for a price, said she’d send measurements

    no reply · 5 h
  • Instagram DM · @mert.dmr

    Wanted a weekend appointment

    not followed up
  • Web form · Yıldız Yapı

Requested a quote, quote in progress

    waiting · 2 days
  • Phone · no name taken

Number written on a scrap of paper

    lost
  • WhatsApp · Emre T.

    Quote sent, he replied

    in quote stage
  • Only one of five enquiries is at its next step. The rest are on nobody’s list.

Illustrative example · names and brands are fictional

  1. Enquiries land in five different places

WhatsApp, Instagram, forms, email and phone are all separate. There is no single list, so nobody sees the week’s total or which ones were answered.

  2. Follow-up lives in someone’s memory

An enquiry marked “I’ll call back” has no date and no owner. When someone goes on leave or leaves the company, their customers leave with them.

  3. You cannot see where you lose

How many enquiries became quotes, how many quotes became sales? Without that, nobody knows which ads work and the budget is spent blind.

Where do your enquiries land today? Let’s sketch it together in the first call — the leaks usually show up in that sketch.

Scope

What CRM consulting and setup actually includes

Six workstreams. Each ends with something concrete in your hands — not an unmeasurable “the system is set up”.

  • Sales process map

We map every step from first enquiry to sale, and who owns each one. The CRM’s stages and fields are derived from this map, not from the software’s default template.

    OutputProcess map and stage definitions

  • Choosing the CRM software

We compare two or three options against your team size, channels, budget, language needs and accounting integrations. The decision is yours, and the licence is held in your name.

    OutputComparison table and recommendation

  • WhatsApp, Instagram and form connections

This is what a WhatsApp CRM means: an enquiry from WhatsApp, Instagram DM, a web form or email opens a card in the CRM automatically, with the conversation history on the card. WhatsApp is usually connected through the WhatsApp Business API or the CRM’s own integration.

OutputCRM with channels connected and tested

  • Follow-up rules and reminders

Each stage gets a next step, a deadline and an owner. Overdue follow-ups are flagged to the owner, and enquiries left untouched too long land in front of a manager.

    OutputFollow-up rules in place

  • Funnel and source reporting

How many enquiries came from each channel, how many became quotes and sales, split by ad source on one dashboard. Ad decisions are made from this dashboard, not from hunches.

    OutputLive sales dashboard

  • Data migration and team training

We clean, de-duplicate and import records from spreadsheets, old software and phone contacts. The team gets short role-based training, a one-page guide and first-month support for questions and fixes.

OutputImported records and a user guide

Process

How a CRM is set up: the first six weeks

How long setup takes depends more on how clear your process is than on the software. A typical flow for a business with one sales team and a few channels:

  1. 1
    Week 1

    Process and channel review

We talk to your sales and support staff and review where enquiries come from and how they are tracked today. Where enquiries get lost becomes clear this week.

    Process map and leak points

  2. 2
    Week 2

    Choosing the software

We demo two or three tools on trial accounts using your own scenario: an enquiry arriving, being followed up, becoming a quote. You make the choice and buy the licence.

    Chosen software and licence plan

  3. 3
    Weeks 3-4

    Setup and channel connections

Stages, fields and permissions; WhatsApp, Instagram and form connections; follow-up rules and data import. Before going live we test it with real enquiries.

    A working, tested CRM

  4. 4
    Weeks 5-6

    Training and go-live

Team training, retiring the old spreadsheet and regular check-ins for the first two weeks. The first funnel report comes out at the end; any rule that is not working gets fixed here.

What we need from you

  • Short calls with one or two people from sales and support
  • Existing customer lists (spreadsheets, old software)
  • Access to WhatsApp Business, Instagram and your site admin
  • The CRM licence purchased in your name

Not sure which CRM to use yet? That is fine — let’s map the process first.

The right service

CRM, chatbot or automation? Which one fits you?

All three grow out of the same worry — “let’s stop losing the customers who message us” — but they solve different problems. A quick way to tell them apart:

  • This page

    CRM

Keeps who each enquiry is, what stage it is at and the next step in one place, and reminds the team to follow up.

    Choose it when

Enquiries are coming in but follow-up is messy, and you want to see who called whom back and where sales stall.

  • AI chatbot

Answers questions on WhatsApp and your website from your own information, and hands the conversation to your team when needed.

    Choose it when

The same questions come in every day and out-of-hours messages wait until morning.

    See AI chatbot services
  • AI automation

Turns manual work between systems — orders, invoices, notifications, reports, data transfer — into automated workflows.

    Choose it when

Your team spends its time copying and pasting and repeating the same steps every day.

    See AI automation

For most businesses the sensible order is CRM first (enquiries in one place), then a chatbot (first reply), then automation (the manual work in between). An enquiry a chatbot collects still gets lost if it never reaches a CRM.

An honest filter

Who actually needs a CRM?

Not every business needs a CRM. For some, a well-kept spreadsheet is enough — and saying so up front is part of our job.

A good fit if…

  • You get a steady flow of enquiries and your sale needs quotes, appointments or follow-up calls (services, B2B, real estate, health, education)
  • Enquiries arrive through several channels and reach several people
  • You run ads but do not know which ones turn into sales
  • Your team can give a few weeks to getting used to a new system

Not yet, if…

  • You get a handful of enquiries a month — a tidy spreadsheet may be enough
  • Your sale is instant and single-step (an online checkout) — what you need there is order automation
  • The real problem is that no enquiries come in — start with ads or digital marketing
  • Your team will not use the software and nobody intends to change that

What we do not promise

  • “One tool fixes everything”Software is a tool. Without a process and follow-up discipline, even the most expensive CRM turns into an empty table.
  • “Setup takes one day”Opening a ready-made account takes a day. A working system with stages, channels, data and training takes weeks.
  • A guaranteed sales increaseA CRM makes leaks visible and organises follow-up. What makes people buy is still your product, your price and your team.
  • A single “all-inclusive” priceThe licence fee goes to the software vendor. Bundled into one line with setup, you can no longer see what you are paying for.
Pricing

What drives CRM software and implementation costs?

A CRM budget has two separate parts: the software licence (paid to the vendor, usually per user per month or year) and the setup/consulting fee. We do not publish packages; these factors shape the proposal:

The proposal lists the licence and the setup fee on separate lines. Because the licence is in your name, the system and data stay with you even if you stop working with us.

  • Number of users

Most CRMs charge per user, so how many people need access is the first factor.

  • Channels to connect

WhatsApp Business API, Instagram, forms, email, phone system. Each connection is separate work, and WhatsApp API messages carry Meta’s own fees.

  • Process complexity

One sales pipeline, or several products, branches or teams? The number of stages and rules sets the setup time.

  • Data migration

One clean spreadsheet, or years of scattered records? The clean-up grows accordingly.

  • Integrations

Whether it needs to connect to accounting, e-invoicing, e-commerce or a booking system.

FAQ

CRM: frequently asked questions

A CRM (customer relationship management system) keeps your customers’ and leads’ details, their source, conversation history and next step in one place. Its value is in follow-up: no enquiry without an owner, overdue ones flagged, and a clear view of which stage loses sales.
