AI Chatbot for Business —
A WhatsApp and website assistant that answers at night, too.
Finding a chatbot product is easy. The hard part is making it know your prices, products and rules — and hand the conversation to your team instead of making things up when it does not know. We choose the platform with you, set it up with your information, connect it to WhatsApp, your website and your CRM, and read and correct its conversations in the first weeks.

What is an AI chatbot, and how is it different from a classic bot?
An AI chatbot is an assistant that answers the questions your customers send on WhatsApp or your website in natural language, based on the information you give it. It is also called an AI assistant.
A classic chatbot is a menu: “Press 1 for information, 2 for orders.” Once the question leaves the script, it gets stuck. An AI chatbot understands free-text questions and writes its own replies — but what it knows and does not know is set by the knowledge source behind it. The real work is not choosing the model; it is giving it the right information and drawing its limits.
There are plenty of ready-made chatbot products, and many are good tools. Our value as an agency is not the product itself: it is choosing the right platform, setting it up with your information, connecting WhatsApp, your site and your CRM, and writing the handover-to-human rules.
If you want the enquiries your chatbot collects to be followed up, see our CRM consulting service.
Classic (menu) bot
- Fixed menus and keywords
- Stuck on anything off-script
- A new manual rule for every new question
- Result: the customer types “talk to a human”
AI chatbot
- Understands free-text questions
- Builds its answer from your knowledge source
- Hands over to your team when it does not know
- Conversations are reviewed and corrected regularly
A customer sends their question at 11:40 pm and gets an answer at 10 am. By then they may have asked whoever replied first .
What a chatbot is for: the messages nobody answers
Messages usually get lost in three places — and those three are exactly where a chatbot earns its keep.
- no reply · 10 h
11:40 pm · Selin
“Any appointments at 10 tomorrow?”
- no reply · 9 h
11:52 pm · +90 5xx
“How much is shipping?”
- gave up
12:15 am · Burak
“Do you have this in size 42?”
- answered 10:05 am
1:03 am · Deniz
“Could you send your price list?”
- answered
9:30 am · Mert
“Where is yesterday’s order?”
- Four of the five questions had ready answers: hours, shipping, stock, prices. All of them waited until morning.
Illustrative example · names and times are fictional
The door closes after hours
Messages keep coming at night and at weekends. When the answer waits until morning, the customer asks somewhere else too.
Your team answers the same questions over and over
Prices, shipping, opening hours, address: questions with known answers fill the team’s day while conversations that need real attention wait in line.
An off-the-shelf bot gives empty or wrong answers
A bot with a thin knowledge source says “I didn’t understand” — or makes something up. Once a customer hears a wrong price, they stop trusting the bot and the brand.
How many of your messages are questions with ready answers? Let’s look at last week’s conversations together.
Free assessmentWhat an AI chatbot setup actually includes
Six workstreams. A website chatbot and a WhatsApp chatbot sit on the same foundation: a knowledge source, clear limits and a handover path.
Conversation review
We read recent WhatsApp, DM and website messages and group the questions: which can go to the bot and which must stay with a person.
OutputQuestion map: bot vs. human
Choosing the platform
Ready-made chatbot platform, WhatsApp Business API provider or custom build: we compare them against your channels, languages and budget, and open the accounts in your name.
OutputComparison and choice
Building the knowledge source
Price list, product and service details, delivery and returns rules, opening hours. This is the only source the bot answers from; you keep control of updates, with written instructions on how.
OutputStructured knowledge source and update method
Limits and human handover
What the bot must never say (discount promises, medical or legal advice, stock guarantees), when it passes the conversation to your team, and how the team is notified.
OutputWritten rules and handover flow
Website and WhatsApp integration
A website chatbot is the chat window in the corner of your site; a WhatsApp chatbot runs on your business number. Either way, the contact details it collects are written to your CRM or a spreadsheet.
OutputLive, connected assistant
First-month conversation review
In the first weeks we read the conversations and fix wrong or missing answers in the knowledge source. After that, a short monthly report: what was asked, what was handed over, what to add.

How a WhatsApp chatbot is built: four steps
A straightforward Q&A assistant goes live within a few weeks. The timeline mostly depends on how ready your information is — and on Meta’s approval.
- 1Week 1
Reading the conversations
We build a question map from recent messages: which questions go to the bot, which to people, and what information is missing.
Question map
- 2Week 2
Knowledge source and rules
Prices, products and rules are gathered in one place. What the bot must not say and when it hands over are written down and finalised with your sign-off.
Approved knowledge source
- 3Weeks 3-4
Setup and testing
The platform is set up and connected to WhatsApp and your site. The WhatsApp Business API application and Meta’s business verification happen in this window; approval time is up to Meta. The bot is tested with real questions and with deliberately tricky ones (asking for discounts, off-topic questions, false-premise traps).

- 4First month
Review and correction
Conversations are read every week, gaps are added to the knowledge source and handover rules tightened if needed. Monthly maintenance after that.

What we need from you
- Your price list, product/service details and rules
- Sample recent conversations (personal data masked)
- Access to your Meta Business account and WhatsApp number
- Someone to pick up handed-over conversations
In the first call, let’s sort together which questions the bot can take and which should stay with you.

“Let’s sort out WhatsApp with AI” can mean three different jobs. A quick way to tell them apart:
- This page
AI chatbot
The customer-facing side: answers questions from your own information and hands the conversation to your team when needed.
Choose it when
Many of your messages are questions with known answers, and you get messages outside working hours.
AI automation
The back-office side: runs repetitive steps such as orders, invoices, notifications and data transfer. WhatsApp automation (order confirmations, shipping updates) belongs here.
Choose it when
The problem is not talking to customers but the repetitive work your team does by hand.
See AI automationCRM
The follow-up side: records who each enquiry is, what stage it is at and who will get back to them.
Choose it when
Messages get answered but follow-up is messy, and enquiries disappear at the quote stage.
See CRM consulting
A chatbot set up on its own often leaves the enquiries it collects sitting in another inbox. The sturdiest setup: the chatbot greets, the CRM follows up.
Is an AI chatbot right for you?
A chatbot does not suit every business; in the wrong place it frustrates customers more than it helps.
A good fit if…
- You get a steady flow of messages and many are questions with known answers — prices, hours, shipping, stock
- Messages arrive outside working hours
- Your prices, products and rules are written down, or can be
- Someone can pick up the conversations the bot hands over
Not yet, if…
- You get a handful of messages a month — WhatsApp Business quick replies are enough
- Every conversation needs individual expert judgement (diagnosis, legal assessment) — a bot can only book appointments
- Messages already get answered but follow-up is messy — start with a CRM
What we do not promise
- “It never makes mistakes”AI models can write fluent sentences even when they are unsure. We limit the risk — answers only from the knowledge source, forbidden topics, handover rules, regular review — but we cannot claim to eliminate it.
- “It replaces your support staff”The bot takes the repetitive questions. Complaints, negotiations and complex requests should stay with people — customers notice when they do not.
- “Set it and forget it”If the knowledge source is not updated as prices, products and rules change, the bot keeps repeating outdated information.
- “Live on WhatsApp tomorrow”The WhatsApp Business API requires Meta’s business verification and approval. How long that takes is up to Meta, not us.
What drives AI chatbot pricing?
A chatbot costs three separate things: the platform subscription, usage fees (messages and AI usage) and the setup/maintenance service. We do not publish packages; these factors shape the proposal:
The proposal lists platform and usage fees separately from our service fee. Because the accounts are in your name, the assistant and conversation logs stay with you even if you stop working with us.
Number of channels
Website only, or WhatsApp and Instagram too? The WhatsApp Business API carries Meta’s own message fees.
Message volume
Platform and AI usage fees usually grow with the number of conversations or messages.
State of your information
Is there a tidy price list and FAQ, or is the information scattered and needs gathering first?
Integrations
Whether it connects to a CRM, booking system, e-commerce stock or order tracking.
Number of languages
Every language means its own knowledge-source check and its own testing.
AI chatbots: frequently asked questions
It is an assistant that answers questions customers send on WhatsApp or your website in natural language, based on information you provide. It is most useful for frequent questions with known answers and for out-of-hours messages, and it hands anything it does not know to your team.
